Inventory and warehouses

The inventory module lets you maintain your product catalog, control stock by warehouse and receive alerts when a product falls below its minimum level.

  • Create and edit products with reference, description, prices, taxes and barcodes.
  • Manage variants (size, color, etc.) with their own price and stock.
  • Organize products into families, brands and attributes.
  • Define physical warehouses and control stock in each one.
  • Activate stock alerts per product using minimum and maximum levels.
  • Configure families (Warehouse → Families) to classify products.
  • (Optional) Configure brands and attributes if you use variants.
  1. Go to Warehouse → Products and click New product.
  2. On the General tab:
    • Reference: unique article code.
    • Description and observations.
    • Family and brand.
    • Barcode and matching code.
  3. On the Stock tab activate stock control and set minimum and maximum levels.
  4. On the Prices tab enter cost price and sale price.

The product record shows several toggles:

Flag Effect
Active Product appears in searches and documents
For sale Can be used in sales invoices
For purchase Can be used in purchase invoices
Stock enabled System manages its stock
Kit Product is a bundle of other products
Public Visible for e-commerce / public catalog
Update POS Appears in the point of sale screen

On the Variants tab you can add combinations of attributes (for example, size and color). Each variant can have:

  • Its own price and cost.
  • Its own barcode.
  • Its own stock.
  • Its own minimum and maximum levels.
  • Families (Warehouse → Families): group products by commercial category.
  • Brands (Warehouse → Brands): manufacturer or brand of the product.
  • Attributes (Warehouse → Attributes): define properties that form variants (size, color, etc.).
  1. Go to Warehouse → Warehouses and click New warehouse.
  2. Enter code, name, address, city and contact details.
  3. Activate or deactivate the warehouse as needed.

Each product + variant + warehouse combination has a stock record with:

Field Meaning
Quantity Physical units in the warehouse
Reserved Units committed in documents
Available Quantity − reserved − safety threshold
Threshold Safety stock deducted from available

If a product has stock control enabled and its available quantity falls below the minimum stock, the system marks it as low stock. You can review these alerts in the product list or in warehouse reports.
